Position Overview

The Athletic Operations Coordinator supports the day-to-day logistics of the Department of Athletics, ensuring the smooth execution of athletic programming across all levels in our Grades 7 & 8, junior varsity, varsity, and non-competitive athletics program. This role involves managing equipment and uniforms, supporting home competitions, coordinating game officials and event personnel, and maintaining an active and engaging presence on social media to promote athletic programs. This is a 12 month, full-time position.

Key Responsibilities

Uniform and Equipment Management

  • Manage inventory, distribution, and collection of all athletic uniforms and equipment for more than 50 teams.

  • Coordinate purchases and assess equipment needs for each program in collaboration with coaches.

  • Maintain a calendar for uniform replacement cycles; make timely recommendations for purchases to the Director of Athletics.

Communicate clear expectations to coaching staff to ensure at least 100% of uniforms and equipment are returned each year.

Game Day Management

  • Serve as game day manager for approximately 300 home competitions annually.

  • Assist athletic facilities staff with preparation of fields, courts, and gymnasiums for home events.

  • Serve as the liaison for game officials, including communication with assignors, distributing schedules, confirming assignments, and managing invoicing.

  • Hire, train, schedule, and manage game day personnel (scorekeepers, announcers, crowd control, auxiliary staff); ensure all personnel are in place and ready prior to each event.

  • Secure qualified scorekeepers for all varsity games and all levels of basketball.

Social Media Management

  • In coordination with the Communications Team, manage and maintain the Athletic Department's presence on Instagram and X (Twitter).

  • Collaborating with the Communications Team, work with coaches and students with approved team social media accounts to ensure they are on brand and within School media policy.

  • Provide daily game announcements, timely post-game results, and consistent highlights across all programs.

Perform other duties as assigned by the Director of Athletics to support the overall mission and success of the athletics program.

Qualifications

Required:

  • Strong organizational skills and attention to detail.

  • Ability to multitask and manage multiple athletic seasons simultaneously.

  • Effective interpersonal and communication skills, especially with coaches, staff, and officials.

  • Experience managing social media platforms in a professional capacity.

  • Ability to work evenings and weekends as required by the athletic schedule.
  • Ability to lift up to 50 pounds and perform physical tasks related to game and equipment setup.

Preferred:

  • 1–3 years of experience in athletic operations, event management, or a similar role.

  • Familiarity with independent school or collegiate athletic environments.
