We are looking for a detail-oriented Project Assistant to join our team on a contract basis in Belmont, California. In this role, you will play a key part in supporting construction project operations by managing bid proposals, coordinating with vendors, and maintaining organizational efficiency. This position offers an excellent opportunity to work in the real estate industry alongside a collaborative team. Responsibilities:
• Organize, update, and maintain bid proposals and scope of work documentation on a regular basis.
• Coordinate communication with vendors, ensuring timely responses and efficient scheduling.
• Schedule vendor visits and ensure all project timelines are adhered to.
• Generate and analyze reports using software tools; training will be provided if necessary.
• Utilize Excel spreadsheets to track and manage project-related data effectively.
• Support accounting processes by assisting with invoice preparation and submissions.
• Conduct occasional site visits to document property damages, including taking photographs.
• Collaborate with team members to ensure smooth project workflows and operations.
• Maintain organized digital and physical files to ensure easy access to project documents.
• At least 2 years of experience in a similar role, preferably in the real estate, construction, or property management industry.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Excellent communication skills, both written and verbal.
• Ability to work independently while taking direction effectively.
• Familiarity with data entry and report generation processes.
• Customer service experience, particularly in vendor coordination, is a plus.
• Availability to work onsite five days a week with some flexibility in start times.
